Privacy Policy

Your wedding day is personal, and so is the information you share with us. We treat it with care and use it only for the reasons you'd expect. Here's what we collect, why, and the choices you have.

Who we are

ILUMINI is a wedding and pre-wedding photography business based in Tokyo, Japan, run by Lester Miyashiro as a sole trader. We're responsible for your personal information under Japan's Act on the Protection of Personal Information (APPI) and, where it applies to you, the EU and UK General Data Protection Regulation (GDPR).

What we collect

• When you contact us: your name, email address, and whatever you tell us through our contact form or by email, such as your date, location, package interest and plans.
• When you book: the details we need to plan your shoot, such as names, contact details, schedule, locations, and any outfit, hair and makeup or rental preferences.
• When you pay: payment records such as amounts, dates and the method used. Payments are handled by Wise or Stripe. We never see or store your card number.
• Your photos: the images we take during your session.
• When you visit our website: basic usage information collected through cookies (see below).

How we use it

We use your information to answer your questions, plan and photograph your shoot, take payments, deliver your gallery, and keep the records we're required to keep by law. We may also use selected images in our portfolio, as described below. We don't send marketing newsletters, and we don't use your information for anything unrelated to your booking.

Our legal bases (GDPR): to carry out your booking or take steps you've asked for before booking (contract); to meet tax and accounting obligations (legal obligation); to run and improve our website and show our work (legitimate interests); and, where we ask, your consent, which you can withdraw at any time.

We don't make automated decisions about you. We need your booking details to carry out your shoot; without them, we can't take your booking.

Who we share it with

We share only what's needed, and only with people who help us look after you:

• Vendor partners we arrange for you, such as hair and makeup artists, florists, kimono and dress rental shops, officiants and transport. They receive only the details they need for your day, such as your name, date, time and location, and handle them under their own privacy policies.
• Service providers that run parts of our business: Squarespace (our website and contact form), Google Analytics (website statistics), and Wise and Stripe (payments).
• Authorities, only if the law requires it.

We do not sell or rent your personal information, and we never share it for advertising. This applies to everyone, including California residents.

International transfers

We're based in Japan, and many of our clients live abroad. Your information is held in Japan and by service providers who may store it in other countries, including the United States. These providers protect it under recognised safeguards such as standard contractual clauses, and Japan is recognised by the EU and UK as providing an adequate level of data protection. On request, we'll tell you which countries your information is stored in and how our providers protect it.

Cookies and analytics

Our website runs on Squarespace, which uses cookies to make the site work and remember your settings. We also use Google Analytics (ID G-HVGZC47PZP) to see which pages visitors use, so we can improve the site. We use this only as statistics, not to identify you. You can block or delete cookies in your browser settings, or opt out of Google Analytics with Google's browser add-on. Visitors from the EU and UK see a cookie banner and can choose whether to allow analytics cookies.

Your photos and our portfolio

Your gallery is delivered through a private online gallery, available for 12 months after delivery. Please download and back up your photos during that time.

As explained in Section 9 of our Booking Terms, we may share selected images in our portfolio, on our website and on social media. Many of our clients prefer to keep their photos private, and that's completely fine. Just tell us before your shoot and we won't share them publicly. If you change your mind later, we'll remove them from our website and social media going forward, though we can't recall printed materials or posts others have already shared.

How long we keep it

• Inquiries that don't lead to a booking: deleted within 2 years.
• Booking and payment records: kept for 7 years, as Japanese tax law requires.
• Your photos: online for 12 months in your gallery. We keep archive copies for 2 years from your shoot date, then delete them.

How we protect it

We keep your information in secure, password-protected accounts and share it only as described here. If something ever goes wrong, we'll tell you and the authorities where required.

Your rights

Wherever you live, you can ask us to:

• see the personal information we hold about you;
• correct anything that's wrong;
• delete your information, unless we must keep it by law;
• stop or limit how we use it, or object to a particular use, such as portfolio sharing;
• receive a copy of it to take elsewhere.

If you're unhappy with how we've handled your information, please tell us first so we can put it right. You also have the right to complain to Japan's Personal Information Protection Commission or, if you live in the EU or UK, to your local data protection authority.

Changes to this policy

If we update this policy, we'll post the new version here with a new date. If a change is significant, we'll let current clients know.
